How to Declutter Your Office for a More Productive Working Day

Productivity is not always about finding a better planner, waking up earlier or squeezing more into your day. Sometimes, the problem is sitting right in front of you.

A desk covered in papers. A drawer full of things you never use. Three notebooks containing different versions of the same to-do list. Cables you have kept because you are not quite sure what they belong to.

None of these things seems particularly significant on its own. Together, however, they create friction. Every time you search for a document, move something out of the way or wonder where you put that important note, your attention is pulled away from the work you are trying to do.

Whether your workspace is in a Dubai office, a London flat or a dedicated room at home, decluttering it can make the working day feel considerably more manageable.

Start With What Interrupts You

Rather than emptying every drawer and cupboard at once, spend a normal working day noticing what gets in your way.

What do you regularly have to move before you can start working? What can you never find when you need it? Which pile have you been ignoring for weeks? Are there items taking up valuable space simply because you have never decided what to do with them?

These are your starting points.

Decluttering does not need to become another enormous task on your list. Begin with the areas creating the most frustration and work outwards from there.

Give Your Desk One Job

Your desk is a working surface, not long-term storage.

Keep the things you genuinely use throughout the day within easy reach. Everything else should earn its place somewhere else. Old paperwork can be reviewed, reference material can be filed and occasional items can live in a drawer, cupboard or on a shelf.

Be particularly careful with the things that arrive on your desk temporarily. Post, receipts, notebooks and documents have a habit of becoming permanent residents when there is no clear next step for them.

Create a simple place for anything requiring your attention, and deal with it regularly.

Question Your Office Duplicates

Offices can quietly accumulate enormous quantities of stationery and equipment.

How many pens do you actually need? Are all those notebooks being used? Do you know what every cable and adaptor belongs to? Are you keeping outdated technology because you might need it one day?

Group similar items together and you may be surprised by how much you have.

Keep a sensible quantity of what you use and let go of items that are broken, obsolete or no longer relevant to the way you work.

Don't Forget the Digital Clutter

A beautifully organised desk will only take you so far if your computer desktop is covered in files and your downloads folder has become a mystery.

Apply the same principle digitally. Remove what you no longer need, group related documents logically and use file names that will make sense six months from now.

You should not need detective skills to find your own information.

Finish the Day Ready for Tomorrow

Before you leave your workspace, take five minutes to reset it.

Put away what you have finished with, return paperwork to its proper place and decide what needs your attention next. That small habit prevents today's activity becoming tomorrow's clutter.

A productive office does not have to look perfect. It simply needs to make working easier.

When you can sit down, find what you need and begin without first negotiating your way through everything around you, you have created a workspace that is doing its job.
